Practice Highlights
- Lead administrative and concierge role supporting designated Paley Institute physicians — one of the most internationally recognized orthopedic and spine programs in the world
- Primary responsibility for surgical scheduling coordination, including obtaining and managing all required preoperative paperwork
- Clinic scheduling management for assigned physicians, with accountability for maintaining accurate, detailed, and current Google Calendar entries at all times
- Serves as the first point of contact for patients, families, guests, vendors, and pharmaceutical representatives — setting the standard for service excellence at every interaction
- Coordinates auxiliary clinic operations at satellite location(s) in addition to primary Institute scheduling responsibilities
- Works in close daily collaboration with the Institute's Practice Manager and physician staff; delegates administrative support tasks as appropriate
- Manages incoming clinic telephone lines and coordinates appointment scheduling across the administrative and executive assistant team
- Patient population spans local, national, and international referrals — children and adults with congenital, developmental, and post-traumatic orthopedic conditions
- Institute's clinical philosophy centers on reconstruction over amputation, limb and joint preservation, and restoration of function
Qualifications
- High school diploma or equivalent required
- Proficiency in a Windows environment with working knowledge of Microsoft Word, Outlook, and internet-based tools
- Experience with Google Calendar or comparable scheduling platforms strongly applicable
- Demonstrated ability to manage complex, multi-physician scheduling in a high-volume, fast-paced clinical setting
- Flexibility and adaptability to thrive in a complex, matrixed organizational environment
- Polished interpersonal and customer service skills appropriate for an internationally facing patient population
