Practice Highlights
- Responsible for scheduling complex diagnostic and surgical procedures, serving as the primary point of coordination between physician offices, patients, and clinical departments
- Conducts patient and physician office interviews to collect complete clinical, demographic, and financial information; enters data into scheduling systems and related applications
- Provides patients with procedure preparation instructions and appointment guidance at time of scheduling
- Manages special requests, STAT orders, and schedule modification workflows; coordinates directly with clinical areas to accommodate urgent or non-standard requests
- Handles inbound telephone volume according to designated scripting protocols within a call center environment; escalates unresolved issues to appropriate supervisors
- Notifies patients and physician offices of physician order requirements, pre-authorization needs, and financial clearance obligations
- Performs cross-functional coverage of other Patient Access and Scheduling Unit (PASU) functions and registration duties as needed
- Carries full supervisory responsibilities: interviewing, hiring, training, performance appraisal, work direction, and employee relations for the patient access team
- Work environment is hospital administration-based with potential exposure to patient care locations and high patient volume scenarios
- Schedule flexibility required based on departmental and system demands
Qualifications
- High school diploma or equivalent required; some college coursework preferred
- 2–5 years of administrative experience in a medical facility, health insurance, or related healthcare setting
- 3 or more years in patient access or scheduling roles strongly preferred
- Completed coursework in medical terminology required
- Advanced understanding of surgical procedure scheduling preferred
- Demonstrated proficiency with scheduling software, hospital information systems, and related applications
- Minimum typing speed of 35 words per minute
- Advanced customer service skills with the ability to manage high patient volumes and complex or sensitive interactions
- High-level problem-solving and analytical ability; strong written and oral communication skills; commitment to technical accuracy and ethical standards
